Summary

We seek to recruit a Procurement and Tender Administration Officer.

Description

Key Accountabilities:

Procurement

  • Responsible for effective and efficient procurement of various company goods and services, contract management, and supplier relationship management through the use of the best practices.
  • Ensuring all relevant procurement-related documents are in place and properly filed.
  • Ensure compliance with all procurement policies and procedures.

Tender Administration

  • Solicit for tenders/quotations and request for proposals in different institutions  
  • Supporting and managing tenders flowing to and from respective sources i.e. E-Tenders, Daily Papers.
  • Working with the relevant management teams on the collating of all material as required on the tender response and specification requirements.  
  • Ability to confidently work on the tender document/content without supervision and submit them to the respective institutions in the right time frame
  • Adhere to agreed timelines on the tender documents and make sure that the tender documents are submitted within the prescribed timelines.
  • Monitoring of existing contracts, expiration dates and ensuring that renewal of the same is done in good time
  • Analyzing spend by the company against tender agreed levels and reporting back to the management team.  
  • Monitoring of tender websites to acquire more tenders Prepare bid bonds if required Strive to continuously improve the tender process.
  • Thorough understanding of the bidding process and documentation Preparation of Quality Tenders, proposals, and quotations for presentations to clients.
  • Preparation of quarterly and monthly reports on acquired tenders.
  • Accurate inputting of tender milestone dates into the Tender Lifecycle Tracker.
  • Manage tender correspondence timely and in line with internal and external guidelines i.e., Acceptance letters, Award Notices.
  • Manage the storing of all documentation relating to tenders and follow.

Education

  • Bachelor's Degree in Procurement, Project Management, or a related field.

More Details on Experience

  • Sound experience in the preparation and administration of tender documents.
  • Previous experience managing contracts and contract negotiation.
  • Three (3) years’ experience tendering in the insurance and pension services industry.
