Procurement and Administration Officer

SHOFCO KIBERA

Summary

To be responsible for evaluating SHOFCO’s suppliers, products and services, negotiate contracts and ensuring that approved purchases are cost effective and of high quality.

Location: Kibera

Reports to : Head of supply chain

Direct reports: Procurement Assistant

Monday – Friday | 8.00 AM – 5.00PM

Description

  • Process purchase orders and invoices ensuring compliance with relevant policies and procedures.
  • Assist in the selection of appropriate SHOFCO’s suppliers and contractors, to promote good procurement practice with due regard to sustainability, ethical purchasing standards and costing.
  • Draft appropriate SLA ‘s to properly evaluate the performance of suppliers and report on this on regular basis.
  • Work with SHOFCO’s internal stakeholders to determine procurement needs, quality and delivery requirements.
  • Responsible for timely order placement, supply /demand alignment, material replenishment and suppliers’ performance.
  • Monitor, evaluate and improve supplier performance, according to an appropriate SLA on a continuous basis.
  • Control and monitor expenses against approved budgets.
  • Develop sourcing strategies.
  • Cost saving budgeting and targeting
  • Payment terms negotiation, optimization and management.
  • Review inventory and update as required.
  • Receive orders from various departments.
  • Daily record keeping.
  • Initiate and keep track of orders.
  • Reconcile and resolve order discrepancies with suppliers.
  • Monitor delivery time to ensure timelines are met.
  • Maintain good relationship with suppliers and renegotiate prices on a regular basis.
  • Provide procurement advice and support to staff and other lines of business for general procurement activities.

Education

  • Bachelor’s Degree in supply chain management (procurement) or any other related field
  • Business related course certificate or a related qualification in the field
  • Member of Kenya Institute of Supplies Management

  • At least 5-6 years’ experience working with the community in informal, urban and/or rural settings in a similar role
