Summary

The HR Officer will provide day-to-day HR and administrative support for the company, helping to ensure that employee records, recruitment, attendance, leave, payroll inputs, employee relations and HR documentation are handled accurately and professionally. The role is suited to an HR practitioner who can work with limited supervision while escalating complex matters to management when required.

Salary Range: KSh 25,000 – 35,000 gross per month

Description

Key responsibilities;

  • Support the recruitment process, including preparing job descriptions, advertising vacancies, shortlisting candidates, scheduling interviews and conducting reference checks.
  • Coordinate employee onboarding and exit processes and ensure required documentation is completed.
  • Maintain accurate, confidential and up-to-date employee personnel files and HR records.
  • Prepare routine HR documentation such as appointment letters, contracts, confirmation letters, leave records and other employee correspondence.
  • Monitor employee attendance, leave, absenteeism and working hours and flag any issues to management.
  • Prepare and submit monthly payroll inputs, including salary changes, deductions, leave and other employee updates, in liaison with Finance.
  • Support compliance with statutory HR requirements, including PAYE, NSSF, SHIF and other applicable obligations.
  • Support the implementation and communication of HR policies, procedures and workplace guidelines.
  • Assist with probation reviews, performance appraisals and performance improvement processes.
  • Support employee relations matters, including grievances and disciplinary processes, while escalating sensitive or complex cases to management.
  • Respond to routine employee HR queries and provide guidance on company policies and procedures.
  • Assist in identifying training needs and coordinating staff training and development activities.
  • Support staff welfare, employee engagement and workplace communication initiatives.
  • Prepare routine HR reports and maintain accurate HR data for management review.
  • Perform other reasonable HR and administrative duties assigned by management.

Education

  • Diploma or Bachelor's degree in Human Resource Management, Business Administration or a related field.
  • IHRM membership or progress toward professional HR membership will be an added advantage.

More Details on Experience

  • 2-4 years' relevant experience in HR administration or a generalist HR role.
  • Practical exposure to recruitment, employee records, leave and attendance, payroll inputs and general HR administration.
  • Basic working knowledge of Kenyan employment legislation and statutory HR requirements.

More Details on Skills

  • Proficiency in Microsoft Office, particularly Word and Excel; experience with HR/payroll systems is an added advantage.
  • Good written and verbal communication, interpersonal and organisational skills.
  • High level of integrity, confidentiality, professionalism and attention to detail.
  • Ability to work independently on routine HR matters, prioritise tasks and know when to escalate issues.

Terms And Conditions

Role Scope

This is a hands-on HR role within a small organisation. The successful candidate is expected to manage routine HR activities reliably and professionally, while seeking management guidance on complex employee relations, legal, disciplinary or policy matters. The role is not intended to require senior-level HR strategic or standalone HR management experience.

Salary

KSh 25,000 – 35,000 gross per month, depending on qualifications, relevant experience and demonstrated practical HR capability.
