PRINCIPAL ACCOUNTABILITIES AND KEY RESULTS: Coordination of Talent Acquisition a. Check job requisitions before submitting for approval on DocuSign b. Support with long listing and shortlisting of job applicants. c. Scheduling of interviews, logistical planning, and constant engagement of hiring managers and candidates, d. Preparation of interview collateral and collation of interview outcomes, preparation of professional interview summaries, and communicating interview outcomes to both internal and external candidates through available communication channels. e. Work closely with team leaders in onboarding of new joiners, including managing the documentation, risk and governance processes, and orientation activities Management of Employee Records, Filing and Retrieval a. Ensure employees job descriptions are up to date, signed and filed b. Coordinate and maintain accurate orientation, onboarding, and separation documentation c. Track employee contracts. This includes probation, confirmation and end of contracts. d. Ensure annual personal data consent form & Unga code of Ethics and conduct acknowledgement and acceptance forms are completed, signed and filed e. Maintain the highest level of confidentiality and ensure employee data protection HR Operations a. Assist with the day to day operations of the HR function and duties b. Maintain and update calendars of HR events and site activities c. Submit accurate HR reports that are analyzed with useful metrics d. Assist in creating policies, procedures, process maps and documents e. Provide relevant data for payroll processing and ensure all payroll errors are resolved f. Serve as a point of contact for HR service providers and hold them accountable to deliver as per contract commitments and service level agreements g. Support day to day management of outsourced staff and labour cost based on approved establishment h. Process invoices for payment and ensure invoice reconciliation are done on time to avoid delay in payments i. Ensure leave plans are adhered to j. Preparation of HR team meeting minutes as per the schedule Employee Relations a. Provide Support to employees in various HR related matters and properly handle complaints and grievance procedures b. Ensure issues brought forward are resolved and escalated on time c. Collaborate seamlessly with the HR team to eliminate any gaps in the employee experience Staff Welfare & Customer Satisfaction a. Coordinate staff welfare activities or projects in order to positively add value to the business and its employees b. Support and document all internal and external HR related inquiries or requests and escalate any unresolved issues c. Ensure availability, issuance and stock take for sundries, cleaning tools and stationery are correctly accounted for d. Coordinate issuance, cleaning and repair of staff uniforms e. Track and manage staff welfare costs Culture Transformation
Learning Support a. Provide Administrative support in planning and learning initiatives b. Planning and execution of induction programmes c. Preparing and releasing communication on various trainings d. Securing training venues and blocking participants calendars e. Tracking attendance of various in-house or external trainings f. Collecting and analyzing training data for reporting purposes
Performance Management a. Provide administrative support for performance management activities. a. Ensure employee goal sheets are up to date, signed and filed b. Ensure quarterly face to face sessions are effectively done and annual PDPs are completed, signed and filed
HR Compliance a. Ensure 100% compliance for statutory and regulatory requirements b. Ensure timely renewals of permits and licenses c. Ensure valid service provider contracts at all times d. Prepare and submit on time SHE compliance reports e. Monitor Service Level Agreements between Unga Limited and Service Providers |

Education
KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED:
Minimum Requirements:
- Bachelor’s Degree in human resource management or any other related discipline.
- Hands on experience in HRIS or HRMS
- Professional Membership (IHRM) and CHRP Certification
- 2-3 years of experience in a similar role, preferably manufacturing
- Good Knowledge of the Kenyan labour laws.
- Computer proficiency
