Summary

The Finance Officer will be responsible for managing the company’s day-to-day accounting and finance operations, ensuring that financial transactions are accurately recorded, payments and collections are properly managed, statutory obligations are met on time, and financial records are maintained accurately and systematically.

The successful candidate should be a hands-on finance professional with practical accounting experience, strong attention to detail and the ability to work independently in a fast-paced environment.

Description

Responsibilities;

1. Cash & Transaction Management

  • Handle and manage daily petty cash transactions.
  • Maintain accurate petty cash records and supporting documentation.
  • Record all financial transactions accurately and promptly in QuickBooks Desktop.
  • Ensure all financial transactions are properly supported and authorised.
  • Monitor cash movements and maintain proper documentation.

2. Accounts Payable

  • Process supplier and other approved payments accurately and on time.
  • Maintain up-to-date accounts payable records.
  • Monitor supplier balances and follow up on outstanding payments.
  • Maintain and regularly update accounts payable ageing schedules.
  • Ensure all invoices and payment documentation are properly recorded and filed.

3. Accounts Receivable

  • Maintain accurate accounts receivable records.
  • Monitor outstanding customer balances and follow up on receivables as required.
  • Maintain up-to-date receivables ageing schedules.
  • Ensure customer payments are accurately recorded and allocated.

4. Driver Mileage & Operational Payments

  • Verify and accurately calculate drivers’ mileage.
  • Ensure mileage-related payments are accurately processed and made on time.
  • Maintain proper records and supporting documentation for mileage claims and payments.

5. Payroll & Statutory Compliance

  • Process monthly payroll accurately and within the required timelines.
  • Calculate and process statutory deductions and other payroll-related deductions.
  • Prepare and submit applicable statutory returns and payments.
  • Maintain accurate payroll records and supporting documentation.
  • Ensure payroll-related statutory obligations are filed and paid on time.

6. Tax Compliance

  • Prepare and submit applicable tax returns through KRA iTax.
  • Ensure timely tax payments and compliance with applicable tax obligations.
  • Manage and maintain eTIMS records and ensure transactions are properly processed and documented.
  • Maintain proper records of tax filings, payments and supporting documentation.
  • Follow up on tax compliance requirements and deadlines.

7. Bank & Account Reconciliations

  • Perform regular bank reconciliations and other account reconciliations.
  • Investigate and resolve discrepancies promptly.
  • Ensure accounting records are complete, accurate and up to date.
  • Reconcile supplier, customer and other relevant accounts as required.

8. Financial Reporting & Month-End Closing

  • Prepare routine financial reports for management.
  • Assist with monthly financial reporting and month-end closing activities.
  • Ensure all transactions, accruals, reconciliations and supporting documentation are completed before month-end closure.
  • Provide accurate financial information and reports to management when required.

9. Records Management & Filing

  • Maintain proper physical and electronic filing of accounting and finance documents.
  • Ensure invoices, receipts, payment vouchers, tax documents, payroll records and other financial records are properly organised and easily retrievable.
  • Maintain confidentiality and security of financial information.

10. General Finance Support

  • Monitor finance-related deadlines and ensure timely completion of assigned tasks.
  • Support management with finance-related information and reports.
  • Identify and report financial discrepancies or irregularities to management.
  • Perform other finance and accounting duties reasonably assigned by management.

Education

  • Diploma or Bachelor’s Degree in Finance, Accounting, Commerce, Business Administration or a related field.
  • Minimum CPA Part II

More Details on Experience

  • 2–3 years’ practical experience in accounting or finance.
  • Proven experience using QuickBooks Desktop is required.
  • Practical experience in payroll processing and statutory deductions.
  • Working experience with KRA iTax and eTIMS.
  • Experience in bank and other account reconciliations.
  • Experience with accounts payable and accounts receivable management.

Terms And Conditions

The ideal candidate is a hands-on Finance Officer who is comfortable handling the day-to-day accounting function, rather than someone who requires extensive supervision. They should be able to work confidently with QuickBooks Desktop, process transactions, manage payables and receivables, handle payroll and statutory obligations, perform reconciliations and support month-end closing.

Candidates who can start immediately or within a short notice period will be highly preferred, given the urgency of the position.
