General Job description

The Assistant Development Officer is responsible for providing assistance and support for the on-going service delivery of the Daughters of Charity programmes in Kenya through developing project proposals/ grant applications, Programme Implementation, Reports writing, Monitoring and Evaluation and Strategic Planning and resource mobilization and fundraising.

Description

Duties and responsibilities

Assist the Development Officer in the following

  1. Programme Development and Implementation
  • Help to develop project work plans in accordance with the specifications and funding limitations and oversee its implementation within the required time frame and period
  • Provide technical advice and guidance to project administrators/ managers in the implementation of their projects.
  • Resource mobilization and fundraising.
  • Write communications, promotional literature, newsletters, etc as requested by funders or the Mission Coordinator.
  • Provide other daily administrative support to the Development officer
  1. Monitoring and Evaluation
  • Monitor the submission of grant reports and other requirements as specified for grant agreements/ contracts
  • Organize/perform field- work to ensure project objectives are met as per the monitoring plan.
  • Follow up on issues raised in field findings/reports and offer solutions/guidance.
  • Keep the concerned project managers well-informed on the deadline for submission of narrative and financial reports and other donor requirements
  • Maintains a database of and monitoring matrix for all project proposals/grant applications submitted to donors
  • Document compliance activities, prepare and maintain records, narrative and financial reports and any other report as may be necessary.
  • Compare annual project plan/financial budget against actual activities, monitor variances and ensure corrective measures are taken.
  • Ensure that all activities implemented comply with funding agreements, policies and other regulatory requirements.
  • Monitor and report on Child Protection and Safeguarding activity and training in each location.
  • Hold monthly development office staff meetings.
  • Prepare brief write-ups and keep a select set of photos on funded projects for purposes of keeping the donors updated on project progress.
  • Identify appropriate capacity-building initiatives and opportunities for the administrators/project managers and build team effectiveness.
  1. Others
  • Send out timely reminders to project administrators regarding applications and reporting
  • Call for and review quarterly reports
  • Ensure all applications are uploaded, online, at least 2 days before the date of submission
  • Ensure that individual location project files are kept updated
  • Ensure that all funding applications and reports are filed in date order
  • Other duties incidental to these may be assigned by the Development Officer

Education

  • Have a Diploma or a Bachelor’s degree in a relevant field (social sciences {Project management or similar}. 

More Details on Experience

  • Minimum of 2 years of experience in the project development field.
  • Experience (paid or volunteer) in community engagement and development projects
  • Experience or knowledge of project management (applying for, managing, and reporting on grant-funded projects etc)
  • Understanding of Monitoring and Evaluation of projects
  • Have proficiency in Microsoft Office Suite (Word/Excel & PowerPoint)
